JOB TITLE: OPERATIONS & SOCIAL MEDIA COORDINATOR

Location: East London/Essex (Based in a Remote Light Industrial Area, with occasional events around London)
Type: In-person, Part-time, Entry-Level

ROLE OVERVIEW
As the Operations & Social Media Coordinator, you will be at the heart of our operational efficiency and online presence. This role is ideal for someone who is highly organized, proactive, and eager to engage with our fragrance-loving community across multiple platforms. You’ll split your time between coordinating production schedules, assisting with customer service, ensuring the smooth running of our workspace.

RESPONSIBILITIES

Customer Service & Community Engagement

  • Respond to all customer emails  within 48 hours, maintaining a friendly and professional tone.

  • Resolve routine order, shipping, and returns questions, escalating complex issues when necessary.

  • Maintain and update response templates and FAQs to ensure they reflect common customer queries.

  • Engage with our community on social media, liking, commenting, and interacting with user-generated content (UGC).

  • Assist with customer communications, including support for influencer collaborations and gifting.

  • Provide seamless holiday cover, ensuring that customer support is uninterrupted.

Production & Inventory Coordination

  • Create and manage production day plans, ensuring that the filling team knows what needs to be filled and on which days.

  • Organize inventory and supplies, ensuring everything is labeled, accessible, and ready for use.

  • Transport retired samples to the warehouse, keeping an up-to-date inventory tracker.

  • Ensure proper care of samples, including organizing returns, restocks, and cleaning.

Facilities Management

  • Maintain office and storage area tidiness, ensuring everything is well-organized and ready for use.

  • Manage monthly orders for consumables (coffee, snacks, toiletries) and ensure adequate stock levels.

  • Handle office tasks such as emptying bins, and organizing incoming packages.

  • Perform errands, including sourcing materials or supplies, and assisting with local deliveries.

Social Media & TikTok Support

  • Assist in creating and managing social media campaigns, including content scheduling and organizing UGC.

  • Actively participate in TikTok live streams alongside other team members to engage with our audience and share brand content.

  • Support content creation and planning for social media channels, particularly for fragrance-related campaigns.

Events & Pop-up Support

  • Assist in organizing logistics for events and pop-ups, ensuring the smooth set-up and breakdown.

  • Help transport products, materials, and supplies for events and shoots, ensuring inventory is properly managed post-event.

  • Assist in organizing and tracking event-related materials, ensuring they’re returned or replenished as needed.

Administrative & Team Support

  • Organise UGC into well-labelled folders and ensure content is consistently updated.

  • Assist with organising social media assets, content scheduling, and providing general support for content management tools.

  • Help with website updates and content adjustments, including editing copy, swapping banners, and uploading new images.

  • Contribute ideas for social media campaigns, newsletters, and content inspiration.

  • Maintain shared spreadsheets for tracking inventory, contacts, and operations.

KEY SKILLS & QUALITIES

  • Warm and empathetic written communicator with flawless spelling and grammar.

  • Strong organizational skills, with attention to detail and the ability to manage multiple tasks effectively.

  • Proactive, self-starter who can take initiative and see tasks through.

  • Comfortable with physical tasks such as lifting supplies and assisting with event setups.

  • Basic familiarity with e-commerce, social media platforms (especially TikTok), and a willingness to learn more.

  • Able to work remotely from our light industrial area, with access to central London for events.

  • Right to work in the UK; able to work occasional evenings or weekends for events and live streams.

ADDITIONAL NOTES

  • Tasks outside of the specified responsibilities may occasionally arise, with appropriate notice and time provided for completion.

  • A key aspect of this role will be participation in live TikTok sessions, engaging with our community and promoting our brand.
